These terms explain the basic rules for using Total Track. Total Track is provided by Malachi Burnett trading as Wiizard Software.
If you do not agree to these terms, you should not use Total Track. If your account was provided by an organisation, contact that organisation before continuing.
Who These Terms Apply To
These terms apply to staff, Senior Leadership/admin users, parent/carer users, and anyone else given an authorised Total Track account. Organisation-level commercial terms, onboarding, pricing, invoicing, and data processing arrangements are handled separately with each organisation.
Accounts And Access
You must only use your own account. Do not share your password, session, email security code, approval link, or password reset link. Tell Senior Leadership or Wiizard Software promptly if you think your account has been accessed by someone else.
Acceptable Use
- Do not try to access records you are not authorised to see.
- Do not share information from Total Track with people who should not receive it.
- Do not upload unlawful, harmful, abusive, misleading, or irrelevant material.
- Do not attempt to bypass security, permissions, audit controls, or deletion controls.
- Do not use Total Track for advertising, scraping, spam, or unrelated commercial activity.
Parent/carers must not share photos or information outside Total Track unless they have the appropriate permission and it is safe and lawful to do so.
User Content And Accuracy
Staff and Senior Leadership users are responsible for records they enter. The organisation is responsible for deciding what should be recorded, who should be linked to each young person, and how local safeguarding and consent requirements are handled.
Privacy And Availability
Personal information is handled as explained in the Privacy Policy. Wiizard Software aims to keep Total Track available, but the service may sometimes be unavailable because of maintenance, updates, hosting issues, provider issues, security incidents, or events outside reasonable control.
No Emergency Use
Total Track is not an emergency reporting system. Urgent safeguarding, welfare, medical, or safety concerns should be handled through the organisation's normal urgent procedures.
Intellectual Property
Total Track software, design, branding, and documentation belong to Wiizard Software unless otherwise stated. Records and uploads entered by an organisation or its users remain the responsibility of that organisation or the relevant rights holder.
