These terms are for organisations and provisions using Total Track. The service provider is Malachi Jack Burnett trading as Wiizard Software.
The Service
Total Track helps alternative provision teams record and manage celebrations, milestones, targets, outcomes, medical logs, consent tags, photo sharing decisions, staff records, parent/carer links, exports, and deletion workflows.
Manual Commercial Arrangements
Sales, pricing, onboarding, payment terms, invoicing, support arrangements, and organisation-specific setup are handled manually or agreed separately. Nothing on the public website creates an automatic right to use the service, a fixed public price, or an automated checkout contract.
Organisation Responsibilities
The organisation is responsible for deciding what information should be recorded, managing users and parent/carer links, keeping safeguarding and data protection policies up to date, training users, and ensuring it has an appropriate lawful basis for the information it asks Total Track to hold.
Data Protection Roles
The organisation is normally the controller for the records it creates and manages. Wiizard Software normally acts as processor for those records and processes them to provide, secure, support, and maintain the platform.
Account Security
The organisation must keep its account list accurate. Senior Leadership email accounts must be secure because they are used for login codes and protected-action approvals.
Retention, Export, And Deletion
The organisation controls its retention approach, subject to available platform settings and agreed limits. Young person records can be archived before deletion. Deleted records may remain in backups until the backup retention period has passed.
Support, Security, And Providers
Wiizard Software uses layered security controls described in the Security Overview. The current external providers are Resend and Cloudflare. Support is provided through arrangements agreed with the organisation.
